A personal film at a wedding, visual content for a venue event or a presentation at a private celebration: the content should feel naturally connected to the occasion. AV planning helps it reach the audience clearly and at the right moment.
We start with what you want to show and where it needs to be seen. From there, we discuss the display approach, playback, audio and room layout. The visual element should fit the event’s design and support its running order, with equipment and technical requirements agreed for your brief.
A display is only useful if the audience can see it comfortably. Room dimensions, seating, daylight and the position of the main event area influence the approach. Tell us how the venue will be used and whether everyone needs to see the same content at once. Those details help define a suitable visual setup.
PLAYBACK & PRESENTATION
Knowing what will be shown is as important as choosing where it will appear. Share your content type, approximate running time and any audio requirements. We can then discuss playback arrangements, file formats and the timing of cues. Supplying final files ahead of the event gives the production plan a more dependable starting point.
A SHARED TECHNICAL PLAN
Video, sound and lighting often meet at the same moment. A film may need the room lights to change; a presentation may need a microphone and a clear transition into music. We consider those connections together so the visual content feels part of the experience, with responsibilities and technical scope established in advance.
PREPARE YOUR VISUAL BRIEF
START WITH THE STORY.
WHAT YOU WANT TO SHOW
Tell us whether it is a film, images, a presentation or other visual content. Mention whether playback needs sound and if there will be a live presenter.
WHERE IT WILL HAPPEN
Share the venue, expected audience, room layout and any information about existing screens or projection equipment.
WHEN IT NEEDS TO LAND
Include the visual content in your draft running order. Note any introductions, lighting changes or music cues that need to happen around it.
GOOD QUESTIONS. CLEAR ANSWERS.
THE DETAILS. Explained.
Can you work with a venue’s existing AV?
+
Tell us what the venue provides, including equipment specifications where available. We’ll discuss compatibility, responsibilities and whether additional production is needed for the agreed brief.
Do you create the video content too?
+
This page covers the planning and presentation of visual content. If you need content creation or editing, include that in the enquiry so the requirement can be discussed and quoted separately.
When should we provide our files?
+
As early as possible once the content is final. We’ll agree a handover point that allows the playback requirements and cueing to be checked before the event.
Is the setup suitable for every room?
+
The display approach depends on the room and the content. Space, ambient light, audience positions and access influence what is practical. We discuss those constraints before confirming the production.
NEXUS MUSIC / THE DETAILS THAT MATTER
YOUR STORY. Clearly seen.
Visual content works best when it has a place in the event. A personal film before an entrance, a family montage during the reception or a visual backdrop for a performance can each contribute to the atmosphere. The screen format, its position and the playback plan should follow that purpose.
We discuss viewing distances, room layout and ambient light alongside the content itself. A screen that looks impressive in an empty room still needs to be visible to guests once the tables are dressed and the event is under way. Sound from films and presentations also needs to be considered with the wider audio plan.
Please share the type of content you want to show, the files you already have and any timings that matter. File formats, aspect ratios, playback cues and the final venue arrangement can then be addressed in the proposal. All content and any permissions needed for its use remain part of the planning conversation.
